Open Call Manager

Privacy policy

Last updated October 27, 2026

This policy explains what personal information Open Call Manager and shareyour.art collect, why, who sees it, how long we keep it, and the choices and rights you have. Both sites are run by LCDBMG LLC ("we", "us"). If you have a question or want to use any of your rights, email info@opencallmanager.com.

The short version

  • We collect what we need to run calls: your account, your work, your entries, and payment records.
  • When you enter a call, the organization running it sees your entry, even while it's a draft, and decides how to use it for that call.
  • We never sell your information, show you ads, or use your work to train AI.
  • You can delete your account yourself. It's gone 14 days later.

Who's responsible for your information

Open Call Manager (opencallmanager.com) is where organizations run open calls and judges score entries. shareyour.art is where artists keep a profile and media library and enter calls. This policy covers both, and everyone who uses them: artists, organizers, judges, and visitors.

Who's responsible depends on the information:

  • We're responsible for your account, your profile, your media library, your own record of the entries you've made, payment records, the emails we send, and our logs and error reports. This policy explains how we handle them.
  • The organization running a call is responsible for the entries made to that call, and for the scores and decisions added to them. It decides what to ask, who judges, how it uses entries, and how long it keeps them. We store and process those entries for the organization, under the data protection terms in our terms of use. Its own privacy policy covers how it uses them, so check the call's details or ask the organization.

What we collect

  • Account details: your email address, a hashed password, and the name, bio, and picture you add to your profile.
  • Beta access requests: while the sites are in beta, the name, email address, how you plan to use the sites, and anything else you choose to tell us when you ask to join.
  • Entries and files: artwork images, audio, video links, PDF documents such as a CV or artist statement, titles and descriptions, and your answers to a call's questions. Files stay in your media library so you can reuse them across calls. Some calls ask for details about you, such as your gender, race or ethnicity, disability, or where you live, for example to check you're eligible. Some of these are sensitive personal information under California law. They're used only to run that call: the organization running it sees them, and we use them only to provide the sites.
  • Details inside your files: photos can carry information from your camera, such as the date and place they were taken. We remove it from the versions of your images that organizers and judges see. Documents such as PDFs are shared as you uploaded them, so they can still carry details such as the author's name. Remove those first if you'd rather organizers and judges didn't see them.
  • Organization details: for organizers, your organization's name and branding, the calls you create, and who has access.
  • Judging: the scores judges give.
  • Payments: entry fees are paid through Stripe. We receive the amount, status, and Stripe's reference numbers, never your full card number. Stripe needs your real name for your payment details, even if your profile uses a stage name, and the organization whose call you pay for may see it in its Stripe account. Organizations that collect fees give Stripe the business and identity details Stripe requires to pay them.
  • Connected storage: if you connect Google Drive, Google Photos, or Dropbox to add files, we store an encrypted access token and copy only the files you pick. See Google Drive, Google Photos, and Dropbox below.
  • Emails we send: a record of which notices went to which address, such as entry receipts, results, and cancellations, so we don't send them twice.
  • Technical data: when something breaks, an error report with the page, browser, and error details. Our servers also log requests, including IP addresses.
  • Visit statistics: which pages are viewed, the page title, the site that linked to it, and your browser, device type, and IP address. We leave out anything after a "?" or "#" in a page address, since sign-in links carry one-time codes there. See Visit statistics below.

Google Drive, Google Photos, and Dropbox

If you connect one of these to add files, you choose the files in Google's or Dropbox's own picker, and we receive only those files and their names and file types. We can't see the rest of your Drive, Photos library, or Dropbox, and we don't receive your Google profile or email address.

We copy the files you choose into your media library so you can use them in your entries. From then on they're handled like any other file you upload: seen only by the organizations whose calls you enter, and kept until you delete them or your account.

We store an encrypted access token so you don't have to reconnect each time. When you disconnect an account on your account page, we revoke that token with the provider and delete it. Files you've already added stay in your media library until you delete them.

shareyour.art's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We don't use Google user data for advertising, don't sell it, don't let people read it except with your permission or as needed for security or the law, and don't use it to train AI models.

Where it comes from

Most of it comes from you. Some comes from the organizations and judges you work with (for example, scores and results), from Stripe (payment status), and from storage accounts you connect.

Cookies

We use only the cookies the sites need to work: one that keeps you signed in, and short-lived ones that protect the connection when you link a storage account. When you pay, you're on Stripe's own checkout page, and Stripe sets its own cookies there to prevent fraud. There are no advertising or analytics cookies, so there's nothing to opt out of.

Visit statistics

We count visits to the sites with Matomo, an analytics tool we run on our own server, so visit statistics aren't shared with an analytics company. It's set up not to use cookies or anything else stored in your browser, which means it can't recognize you from one visit to the next. We use the numbers only to see which pages people use and how they find the sites.

Why we use it

  • To run the service you signed up for: your account, entries, judging, results, awards, and payments. This is necessary to perform our agreement with you.
  • To send the emails the service depends on, such as receipts, judging invitations, results, and refund notices.
  • To decide who gets beta access and to send beta updates to the people who asked to join. When you request access, we add you to our beta mailing list, kept with SendPulse. You can unsubscribe from it at any time using the link in any of those emails.
  • To keep the service secure and working, prevent fraud, and fix errors. This is our legitimate interest in running a reliable service.
  • To keep payment and tax records, because the law requires it.
  • To count visits to our pages, so we know what people use and can improve the sites. This is our legitimate interest in running a useful service.
  • To access files in a storage account, only when you connect it. You can disconnect it at any time from your account page.

AI

We never use your work, your entries, or your personal information to train or improve AI models. We don't let the services we use do it either. We may use statistics that contain none of your content, such as how long entry forms take, to improve the sites. Stripe processes payment information under its own privacy policy, which allows it to use that information for fraud prevention, including with AI.

Who sees it

  • The organization running a call sees the entries made to it, including entries you've started but not submitted, so it can help you finish. It scores only submitted entries. It can also export entries, and it's responsible for any copies it exports.
  • Judges see the entries the organization assigns to them, once they're submitted. On blind-judging calls, judges don't see the details the organization chooses to hide, such as your name. Judges never see each other's scores.
  • Nothing on the sites is anonymous. Blind judging hides chosen details from judges, but the organization, Stripe, and we can still see who entered.
  • Other artists never see your entries.
  • The services that run Open Call Manager for us handle information only to do that job, under contracts that limit them to it:
ServiceWhat it doesWhere
SupabaseDatabase and sign-inUnited States
DigitalOceanServers and file storageUnited States
StripePayments and payouts to organizationsUnited States
SentryError reports, with no names or emails attachedUnited States

We also use SendPulse and Namecheap Private Email to send email. SendPulse also keeps our beta mailing list.

We'll update this list before we add or replace a service.

Some services aren't on the list because you or an organization choose them, not us:

  • An organization's Stripe account. Entry fees are paid into the organization's own Stripe account, and Stripe handles that payment under its agreement with the organization.
  • Google and Dropbox, only when you connect them to pick files.

We may also disclose information when the law requires it, or to protect people from fraud or harm. If LCDBMG LLC is ever sold or merged, this information would transfer under this policy.

Where it's stored

Our database and stored files are in the United States. Some services, such as those that send email, may process information in other countries. If you use the sites from outside the US, your information is transferred to the US. Where the law requires it, these transfers are covered by standard contractual clauses in our agreements with our providers.

How long we keep it

  • Your account, profile, files, and entries stay until you delete your account.
  • Beta access requests are kept until the beta ends. You stay on the beta mailing list until you unsubscribe or ask us to remove you.
  • Entries you made to a call stay with that call as part of the organization's records until you delete your account or the organization is deleted. The organization decides how long to keep any copies it exports.
  • Payment records are kept as long as tax and accounting law requires, generally up to 7 years. When you delete your account, they're kept without your name, email, or a link to your entries.
  • Error reports are kept for up to 90 days.
  • Server logs are kept for up to 30 days.
  • Database backups are kept for up to 7 days. If we ever restore one, we delete again any account that was deleted after the backup was made. So a deleted account is gone from our database backups within 21 days of your request: 14 days until it's deleted, then up to 7 days of backups.

Deleting your account

You can delete your account at any time from your account page on either site. You'll be asked for your password, then signed out everywhere, and your account is locked. After 14 days it's permanently deleted. To change your mind before then, sign in and choose Cancel deletion. If you can't sign in, email info@opencallmanager.com from the account's address and we'll do it for you after confirming the request is yours.

When your account is deleted:

  • Entries in calls that are still open or being judged are withdrawn, and any entry fee is refunded minus the card processing fee.
  • Your profile, media library and documents, entries, connected storage accounts, email records, and sign-in are deleted, including the stored files themselves. This includes the organization's copy of your entries on our sites, but not copies an organization has already exported.
  • Scores you gave as a judge stay, so other artists' results don't change, but they're no longer linked to you.
  • If you're the only owner of an organization, it's closed: its live calls are cancelled, every entrant is refunded, and the organization is deleted once those refunds have gone through.
  • Payment records are kept as described above, without your name or email.
  • We email you to confirm when it's done.

Your rights

Wherever you live, you can ask us to tell you what we hold about you, give you a copy, correct it, or delete it. Email info@opencallmanager.com, or use the account page to delete your account yourself. We'll confirm the request comes from you, usually by replying to the account's email address, and answer within 30 days. We won't treat you differently for using these rights.

If your request is about an entry an organization holds, such as its scores, we'll pass it to that organization and help it respond.

California residents

Under the California Consumer Privacy Act, you have the right to know what personal information we collect, use, and disclose; to delete it; to correct it; and not to be discriminated against for using these rights. In the last 12 months we've collected the categories described in "What we collect": identifiers such as name and email, commercial information about entry fees, professional information you choose to upload such as a CV, internet activity limited to error reports and server logs, and the content of your entries. We may also collect sensitive personal information you choose to give a call, such as your race or ethnicity, or your sexual orientation. We collect it from the sources in "Where it comes from", for the purposes in "Why we use it", and disclose it only to the recipients in "Who sees it". We don't sell or share personal information. We use sensitive personal information only to provide the sites and run the calls you enter, as California law allows, and never to infer anything about you. An authorized agent can make a request for you with your signed permission; we'll still confirm it with you. We respond within 45 days.

Other US states

Residents of other states, including Colorado, Connecticut, Oregon, Texas, and Virginia, have similar rights to access, correct, delete, and get a copy of their information. Email us to use them. We don't sell personal information or use it for targeted ads. We treat a Global Privacy Control signal from your browser as a request to opt out.

People in the UK and European Economic Area

Under the GDPR, we rely on the legal bases listed in "Why we use it". You also have the right to object to processing based on our legitimate interests, to restrict processing, to receive your data in a portable format, and to withdraw consent, such as by disconnecting a storage account. We respond within one month. You can also complain to your local data protection authority.

Security

Connections to the sites are encrypted, stored access tokens are encrypted, passwords are hashed, and access to data is limited by account and role. No system is perfectly secure. If a breach affects information we're responsible for, we'll tell you, and the regulator where the law requires it. If it affects entries an organization is responsible for, we'll tell the organization right away so it can tell you.

Children

You must be 18 or older to use the sites, as our terms of use say. We don't knowingly collect information from anyone under 18. If you think someone under 18 has given us information, email us and we'll delete it.

What we don't do

  • Sell or rent your information
  • Show you ads, or let advertisers or analytics companies track you on our sites
  • Use your work or entries to train AI
  • Use your work to promote Open Call Manager or shareyour.art without asking you first

Changes to this policy

When we change this policy, we'll update the date at the top. If the change is significant, we'll email account holders at least 30 days before it takes effect.
